Vacation Rental Agreement
CHECK IN AND CHECK OUT: The rental period begins at 4:00 p.m. on the day of arrival and terminates at 10:00 a.m. on the day of departure, unless prior arrangements have been made. Early check-in’s or late departures will incur an extra charge of $25. The properties are professionally cleaned and inspected before and after each rental to ensure that all guests have a clean comfortable stay. Please be thoughtful of renters who may be checking in on the same day that you checkout. Occasionally delays may occur during peak season.
DEPOSIT AND PAYMENTS: In order to secure your stay, 50% of your reservation is due within 24 hours of your reservation. The total is due 30 days prior to your check in date. If you have a credit card on file it will be charged automatically unless other payment arrangements are made. Please review your reservation and make sure all the information including check in and check out dates are correct.
PAYMENT TERMS: Credit Cards, Electronic Funds or Electronic Checks are accepted. There is a $50 charge for all returned checks plus the cost of collection.
CREDIT CARD AUTHORIZATION: I understand and consent to the use of the credit card provided without original signature on the charge slip, that an email of this agreement will serve as an original, and that this Credit Card Authorization cannot be revoked and will not terminate until 90 days after the rental is vacated. Additional charges may include: excessive cleaning fees; damages beyond normal wear and tear and unreturned keys. All charges not covered under the Damage Protection Insurance may be included.
DAMAGE PROTECTION: It is required by Coastal Dreamin’ that in lieu of a security deposit, Guest must purchase Vacation Damage Protection. The charge for the plan is $69 (non-refundable) and provides up to $3,000 in coverage for accidental damage to the property and its contents. An inspection of the property will be conducted following your departure. Should an inspector find that the unit is inordinately dirty, items are missing from the property, or there is obvious damage to the property and/or its contents, Guest will be notified and advised of the claim process. Coastal Dreamin’ Vacation Rentals reserves the right to charge Guest for damages exceeding $3,000. A credit card will be held on file for any such damages as Guest is personally and financially responsible for such damages.
TRAVEL INSURANCE: Travel insurance is highly encouraged, and will reimburse you in the event that unforeseen events disrupt or cause delay or cancellation of your trip. The cost of this insurance, provided through Rental Guardian, is 7% of the total cost of the rental rate. A complete review of this policy is available at www.rentalguardian.com. A representative can be reached at 888.885.5550. No refunds will be issued within 90 days prior to check-in without this coverage. Please review the CANCELLATION POLICY stated in this contract.
RATES: Terms and applicable taxes are subject to change without notice. We reserve the right to move Guest up to 30 days in advance to a comparable property or refund the Guest the amount paid.
OCCUPANCY RESTRICTIONS: Guest is responsible for insuring that the number of occupants at no time exceeds the advertised maximum sleeping capacity of the of the property as stated in the property description. This shall exclude infants and/ or toddlers occupying cribs or travel sleepers. Furthermore, no one under the age of twenty-five (25) may occupy the property as Guest or without adult supervision. Violation is cause for eviction without refund of any kind, and will result in liability for any and all damages that have resulted due to this infraction.
a.) Cancellation of the reservation is acceptable if notice of cancellation is given within seven (7) days of making the reservation and a full refund will be made less processing fees. Following the seven (7) day grace period, if cancellation is made and/or the final payment has been submitted, every effort will be made to occupy the property with a new reservation. Should a new reservation be secured, a full refund minus $500 will be refunded. Should we be unable to secure a replacement reservation, all funds collected will be forfeited. b.) Hurricane or Storm Policy. In the event that the National Weather Service issues a Tropical Storm or Hurricane warning, and/or a mandatory evacuation, a full or partial refund will be issued to the holders of Travel Insurance only. This policy is obtainable through Coastal Dreamin’ at the time of booking, and cannot be purchased in the wake of a pending storm. We strongly encourage our guests to obtain such a policy, as we are not responsible for any such act of nature.
DAMAGE AND CLEANING ISSUES: Any damage or cleaning issues noticed upon arrival should be reported to Coastal Dreamin’ immediately. If damage or cleaning issues are not reported within 3 hours of your arrival, your credit card may be charged for the cost of the repair. All general maintenance issues should also be reported so the unit can be kept in good repair. You must contact Coastal Dreamin’ to address any cleaning issues within 3 hours of your arrival. You will not incur any additional charges if the following items are adhered to:
- No damage is done to the unit or its content including the linens.
- No items are missing upon the inventory check. (This includes, but is not limited to, transferring items to other units.)
- All debris, garbage and discards are placed in proper containers.
- All soiled dishes are placed in the dishwasher.
- There was no smoking or evidence of smoking in a designated non-smoking unit.
- Unit is left in neat condition.
- Pet friendly units show no sign of pet damage or excessive cleaning
If you experience any problems whatsoever with the vacation property during your stay, please contact us and we will do our best to rectify the matter as soon as it is practically possible. Should a problem remain unresolved, you are required to notify us in writing within 7 days of your return.
NO SMOKING: Smoking is not allowed in any of our units. Smoking is not allowed outside by any open window/door. Smoking is permitted on balconies as long as the doors and windows are closed. Smoking within the property, or not properly securing the unit while smoking outside, and causing the property to smell of smoke, or not properly disposing of cigarette butts and ashes will result in a $1,000 fine. NO EXCEPTIONS.
COMMUNITY RULES: Guest agrees to abide by rules of the community. These may be posted in the unit or at the community pool or office. These rules may change from time to time.
PET POLICIES: Pets are permitted only in units specified as “Pet Friendly” properties. This policy refers only to dogs, and no more than two are permitted during the accommodation period. A non-refundable Pet Fee ($100 per pet) is required to permit pets on-site, and failure to secure permission through payment of the Pet Fee will result subsequent actions by Coastal Dreamin’ to include a minimum fine of $500 plus any additional cleaning fees, and not to exclude eviction. Guest pets must be treated for fleas and ticks prior to arrival. Guests must pick up after pets and tightly tie the remnants in a plastic bag if staying in a Pet Friendly Unit. Pets are not allowed on the furniture and all pet hair must be cleaned up prior to departure. A $150 fee will be charged if there is any report of pet hair on bedding and sofas. Guest pets must be leashed at all times when outside of the unit and under no circumstances are Guest pets allowed on the beach. The violation of any terms of this pet policy subjects the guest to additional fines or termination of the rental period. Guest pet policies and unit availability are subject to change per county and association rules and regulations at any time.
FALSIFIED RESERVATIONS: Any reservation obtained under false pretense or in violation to the terms and conditions of this agreement will be subject to forfeiture of advance deposit and/or rental money and the party will not be permitted to check-in.
OBLIGATIONS OF THE PARTIES:
LOST, STOLEN AND MISPLACED ITEMS: Neither Coastal Dreamin’ nor the Property Owner assumes liability for items that may be lost, stolen misplaced or damaged during the duration of the rental period. In the event that personal items are left behind after departure, please contact our office to arrange return shipping. Items will be returned at the expense of the guest.
PARKING: Parking restrictions must be observed at all times and parking is permitted in designated areas only.
QUIET ENJOYMENT: Local county ordinances prohibit unreasonable disturbance of others. Decibel levels are not to exceed fifty (50) decibels at any time between the hours of 10:00 P.M. and 7:00 A.M. Violation and breach of the peace includes music heard on the outside of the property with windows and doors secured. Unregistered guests of the property are required to depart no later than 11:30 P.M. Repeat offense of this policy will result in eviction without refund.
LOCKOUT AREAS: Properties with areas such as garages and closets that are designated off-limits to guests must not be accessed or attempted to be accessed during occupancy. Violation especially by forced entry will be reported to local authorities as breaking and entering. Please regard any an all locked spaces as those for owner use only.
CONDITIONS OF PREMISES: Upon departure the premises must be left in the order in which it was entered. This includes removal of perishable items, and placement of garbage in designated areas. All dirty dishes, glassware and flatware should me placed in dishwasher and the cycle started. Windows and doors should be secured, and thermostats should be adjusted according to the season. 78º in warmer months and 67º in the cooler times of the year.
INDEMNIFICATION: In the event of any accident or incident that causes damage, bodily injury or casualty to the Guest or any member of the occupying party, by signature of this agreement all occupying parties agree collectively to hold harmless and waive the right to hold negligent the Property Owner and/or Coastal Dreamin’’ Vacation Rentals and any and all representatives thereof. This is to include any and all recreational items such as golf carts, scooters and bicycles.
INTERFERENCE WITH STAY: Coastal Dreamin’ Vacation Rentals will make every effort to stay informed of pending construction, closure of facilities related to the property, upcoming events such as concerts that can cause disturbance, etc. However, Coastal Dreamin’ shall not be held responsible for such occurrences that are beyond our control.
RIGHT OF ENTRY: Coastal Dreamin’ may enter upon the leased premises at ay time for the protection and preservation of the premises, in the event of an emergency, or known or suspected violation of policies set forth by this agreement. When entry is necessary for repairs or services agreed upon by both parties, Coastal Dreamin’ will make every effort to provide ample notice of three (3) or more hours. Inability to extend such notice for reasons set forth above shall not however prohibit entry.
GOVERNING LAW: This agreement shall be governed by the laws of the state of Florida. Each of the parties irrevocably consents to the exclusive personal jurisdiction and governing laws of the federal and state courts located in the state of Florida and within Walton County as applicable, for any matter arising out of or relating to this Agreement.
ENTIRE AGREEMENT: This Agreement constitutes the entire agreement of the parties and supersedes all prior or contemporaneous oral or written agreements concerning this subject matter. Any modifications or changes to this agreement must be in writing and will be deemed null and void without proper signature from the Guest and a representative of Coastal Dreamin’ Vacation Rentals.

Additional things to consider for Spring Break Rentals
Reservations made for teenagers or young single groups will not be honored without an accompanying adult couple staying in the unit at ALL times. We require at least one member of the party to be 25 (twenty-five) years of age for properties that occupy up to 4 adults & for Homes that occupy 8 or more to have the majority over the age of 25 years of age or older, unless specifically approved by Coastal Dreamin’ general manager.
Any violators will be evicted according to Florida Statue 508-141 with forfeiture of all monies. No rental property may be sublet without written permission from Coastal Dreamin’. Your reservation is not transferable to another party without written or emailed permission & acknowledged in writing from Coastal Dreamin’ and all parties may be asked to present valid Identification.
Parents, and/or adults over the age of 25, are not allowed to check-in and then leave the property to under-aged guest(s); they must stay at the property throughout the duration (nightly) of the reserved stay dates.
Any group whose behavior creates a disruption or interferes with their neighbor’s reasonable peaceful enjoyment of their property will be subject to eviction and no refund of any kind will be made. Reservations made during Spring Break must be paid in full at least 7 days prior to the check in date. Coastal Dreamin’ reserves the right to inspect any property with or without notice to the guest.
